Administrative assistant

A Step Ahead is recruiting an Administrative Assistant to join our growing team of early support for infants and toddlers professionals. Work to support the administrative functions of a dynamic multi-disciplinary staff who support families of infants and toddlers in their homes, classroom and outdoor environments to improve their overall development skills. ASAPC services the Bethel, Franklin Pierce, Puyallup and Eatonville School Districts. The Administrative Assistant is responsible for supporting A Step Ahead by performing general office duties, preparing and maintaining client files, data entry and other needs of program staff.

Key Responsibilities

  • Responsible for creating a unique and positive experience with any interactions on behalf of the agency

  • Presents a positive and professional image for the organization

  • Represents the organization’s mission and values

  • Provide administrative support to ensure efficient office operations

  • Ensure all administrative compliance requirements and met and maintained

  • Maintains physical and digital filing systems

  • Always ensure positive and consistent communication

  • Manage and maintain accurate and thorough data capturing to maintain compliance

  • Works collaboratively with other administrative staff and supports other colleagues as needed

  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations

  • Ensure deadlines are met and adapts to changing priorities

  • Provide data and support to agency departments as needed

  • Support operations in ensuring all administrative requirements are implemented and remain in compliance

  • Engage and participate in all agency trainings and team events

  • Supports agency events, playgroups, and fieldtrips as needed

Qualifications & skills

  • High School Diploma or GED

  • Minimum 2 years experience in general office duties

  • Proficient skills in MS Word, Excel, Publisher, and we-based databases

  • Pass Washington State pre-employment background check, as required

  • Valid Driver’s License and proof of Auto Insurance via auto insurance declaration/binder

  • Able to gain proficiency in computer software commonly used for documentation and report preparation

  • Knowledge and adherence to HIPAA legislation and other patient privacy laws

  • Detail oriented and able to maintain consistency on repetitive tasks

  • Able to multi-task and handle changing priorities

  • Able to collaborate and share responsibilities with projects and tasks

  • Professional demeaner when interacting with others

Pay Rate:

$18 to $24 per hour, depending on experience
